Define the minimum useful record
For each purchase, keep the merchant invoice or receipt alongside the payment identifier, account currency, amount and date. Ask your provider what fields its export includes and how records can be matched. Avoid building the process around a screenshot that omits references or changes appearance after an app update. The objective is to let another authorised person explain the transaction without needing access to the buyer's memory.
Give exceptions their own queue
Create a short list for missing receipts, unclear merchant names, refunds and amount differences. Assign an owner and next action to each item. Separate these unresolved questions from transactions that already match. A clean exception queue makes the monthly review manageable and shows whether the payment system is creating avoidable work. Measure how long reconciliation takes in the pilot, because the cheapest-looking account may still require administrative effort your team did not budget.
Hypothetical example
A hypothetical boutique purchases materials from several suppliers. Two transaction descriptions are unfamiliar, so the assistant links them to receipts and asks about the remaining one. Finance can close the matched items immediately while keeping one clearly identified exception open for investigation rather than delaying everything.
Make it practical.
