Link four pieces of evidence

Keep the purchase request, approval, payment record and fulfilment evidence connected by an order or project identifier. Ask the provider what activity history can be exported and who can view it. The file should explain why the payment happened and whether the expected result followed. A transaction list alone may show money moving without showing the commercial decision behind it or whether the supplier delivered what the business approved.

Make retrieval part of the trial

Ask a colleague who was not involved to locate and explain a sample payment using only the records. Note missing context and improve the process. Apply appropriate access and retention policies with your advisers. The objective is practical traceability, not collecting every possible document. A concise, connected record is more useful than a large folder of screenshots where the reviewer cannot identify which approval belongs to which transaction or which version of the quotation was accepted.

Imagine this

Hypothetical example

A hypothetical company reviews an equipment purchase months after delivery. The project record links the approved quote, payment reference and delivery confirmation. A new finance employee can explain the purchase quickly, showing that the process preserved the business story rather than only the amount charged to a card.

Make it practical.
