Create a controlled comparison
Record the currency pair, conversion direction, amount, timestamp and quoted final proceeds for each option. Ask when the quote expires and whether the displayed rate includes all disclosed charges. Comparing a morning quote with an evening completed transaction can mix pricing differences with changes over time. Keep the original quote and label estimates clearly so your worksheet does not imply more precision than the evidence supports.
Explain the difference in ordinary language
Present the starting amount, each explicit charge and the final amount received. Use a recognised reference calculator for context where appropriate, while recognising that it is not your provider's complete offer. If the result differs from the quote, ask which event determined the actual rate. This approach helps a business discuss conversion costs without asserting that a single screenshot proves another provider is cheaper across every currency, amount and time of day.
Hypothetical example
A hypothetical agency collects two euro-to-dollar quotes within the same review window and saves their conditions. A later transfer produces a different outcome, so the agency checks the settlement record rather than accusing either provider of changing a guaranteed rate that was never promised in the first place.
