Reflect the session accurately

Summarise what the participant wanted to accomplish, the step completed and the one remaining action. Link to the specific current reference, if appropriate. Ask whether the participant wants a check-in and through which agreed route. A generic message listing every platform feature can obscure the useful work they actually did.

Invite a practical reply

Use a question the participant can answer from experience: did the intended reader find the project summary, or which step remains unclear? Keep the next response focused on that answer. If the participant no longer needs assistance, close the loop gracefully. Any drafted message should be reviewed and sent by the responsible person, with the customer's communication preferences respected.

Imagine this

Hypothetical programme scene

Hypothetically, a participant leaves with a revised project label and plans to test it with a colleague. Their follow-up asks about that test. The reply reveals that the label now works but the contact route needs clarification, giving the next conversation a precise purpose.

Make it practical.
