Document the working essentials
Explain what was delivered, where it lives and who owns the relevant accounts or files. Include routine tasks, known limitations and support routes. Keep credentials out of an ordinary public document and use the organisation’s approved access-sharing process. Avoid handing over a folder of unexplained files and calling it documentation. The next owner needs a map of the system and its responsibilities.
Test the handover
Ask the receiving person to complete a representative task using the documentation. Watch where they hesitate and improve the instructions. Identify which maintenance tasks need a schedule and which changes should trigger a review. Confirm that the organisation can access the materials without your personal account. A short practical test can reveal missing steps that are invisible to the person who built the system.
Hypothetical example
A hypothetical profile rollout is handed to an internal administrator. They practise updating a document, changing a role and locating support instructions. The test reveals that one asset is still stored in the supplier’s personal account, which is corrected before the handover is considered complete.
