Define retirement triggers

Identify content tied to a date, event, product version, project stage or temporary offer. Assign an owner and a review trigger when the material is created. Avoid assuming that an old PDF will stop circulating because the original campaign ended. Keep a record of the maintained destination and the channels where copies were distributed.

Choose the right replacement

An archived item can remain available with clear historical context when useful. A withdrawn offer may need a status page and current contact route. Do not silently substitute unrelated material under an old title. Review internal sales templates and profile links as well as public pages. Retirement is complete when the team understands what should no longer be used and where readers should go instead. This keeps the publication useful as the business evolves.

Put the guide to work

Include an archive note explaining why material was retired and what replaced it. A later colleague may need to understand the history without putting the old item back into circulation. Clear retirement context protects both continuity and the accuracy of current public information.

Imagine this

Hypothetical example

A project brochure remains attached to a sales template after the project changes stage. The retirement register prompts replacement with the current overview and marks the old edition as historical. New prospects receive relevant information without losing access to useful context from earlier discussions.

Make it practical.
